Client Information

Elite Counselling & Consulting Services is integrated with Jane (a client management system). Jane allows clients and therapist to have access to app and web-based platform for online video, file sharing, booking/cancelling (in-person & online appointments) and for payment. Note payments can be made by credit card or etransfer, with receipts issued through Jane. Session notes are additionally done electronically using the Jane platform. Jane is encrypted and PHIPA (Personal Health Information Protection Act) Compliant. For more on the Jane see here

Any hardcopy client information, such as forms signed in person, are maintained in locked storage. Client files are retained for 7 years after last active or 7 years after the youngest participating member turns 18 (for youth or family services). Clients who may wish to view their file or have questions are welcome to contact [email protected]

Counselling / Psychotherapy clients are given disclosure of confidentiality limits, service risks, and cancellation fees, to make an informed consent to service before they generate their Jane login. The form is also then reviewed together in the first session.

Clients with concerns about using the Jane platform are welcome to inquire for more information. Consent forms note the limitations of confidentiality, per the Ontario College of Social Workers and Social Service Workers.

Note that client notes are taken for clinical purposes and not for the intention of litigation, thus are written in a manner consistent with that.

Workshops

Workshops have an attendance sheet that collects basic information. Workshop attendance sheets are retained in hardcopy, in locked storage. They are retained for 2 years after the event, then destroyed.

Clients are encouraged to use discretion when choosing to follow social media profile related to Elite Counselling & Consulting Services. Following social media content may compromise confidentiality. We make efforts to ensure we are not following clients profiles. Should you choose to connect with the practice over social media, you'll be directed to the booking page, or to follow up with a call or e-mail. Social Media communication is not secure means for personal health information.

Note the true security of email and telephone communications cannot be guaranteed, though the most care goes into maintaining security & confidentiality. Disclosures of identifying/sensitive information should be limited within e-mail communication.

Additionally note that we are not a crisis service. E-mail in particular should not be used as a means of communication in crises.
